Exhibitors Guide

We recommend and encourage the following ways to enjoy a safe visit to the Untitled Artists’ Fair and the Chelsea Old Town Hall, and to help give our staff and fellow clientele peace of mind in this transition period. We encourage a ‘Common Sense’ approach to ensure the safest way to enjoy the exhibition and venue.

We will not be operating a vaccine certification or passport model to enter our shows, nor will we demand masks be worn at all times. We are just asking you to be kind and thoughtful and try to follow these guidelines for the safety of our staff and every other visitor.

Please do not attend if you have symptoms or if you believe you may have been exposed to infection. 

We encourage you to wear a mask when attending. Exemptions still apply as always. If you are vulnerable then we strongly recommend that you wear a mask if you are able, and avoid close contact with other visitors or staff who have chosen not to wear a mask. Before coming to one of our events, we recommend that you every precaution in making sure that you are not infectious. You can do this by getting vaccinated or taking a lateral flow or PCR test however this is not a condition of entry.

Please frequently use the sanitiser stations around the venue to help reduce contact risk by regularly cleaning your hands. 

What we’ll be doing in the venue to reduce risks:
Our staff will be keeping a close eye on the volume of visitors within the event in addition to implementing a one-way system for a safe flow of footfall.

We will continue to clean the building regularly, including wiping down all surfaces using contact cleaning solutions which reduce the risk of contact infections.

We will be ventilating the venue where possible by opening doors and windows. This will enable air to circulate and reduce both aerosol and droplet risk.

The Untitled Artists’ Fair will continue to operate as card only event although artists are free to accept payments via any means.

General catering, food & beverage services at the Private View and throughout the event may be limited or unavailable based on the restrictions in place at the time of the event. 

Tickets and promotional materials will be completely paperless to restrict cross contamination and for environmental purposes.

We reserve the right to add and amend these rules and regulations in line with Government restrictions in order to keep our staff and visitors safe.

Please promote your event as much as possible as it is in everyone’s interest to generate the maximum awareness. We are all working together so please do not rely on other Artists to promote on your behalf.

Please remember that although you may not live locally there are numerous ways to promote this event either by email, posting out your invitations on social media, to businesses local to the event and/or emailing the digital invitations to local professionals such as architects, interior designers, publishers, galleries, dealers, agents or city professionals.

Please feel free to link your own website directly to ours. Any listings of events, magazines etc. can also be linked via social media platforms such as Facebook, Instagram, Pinterest and Twitter. 

Closer to the event we will email you correctly formatted images, as well as social media friendly tickets to post on your website, online and to forward to your guests.

All applications for private view tickets for the Friday evening should be made directly by each of your clients. We will email you with more details about the private view in due course.

For convenience and environmental purposes we are now completely digital. This will allow you to send email invitations to as many guests as you wish without any additional postage expenses. Contacting clients too far in advance may not be effective unless a reminder message is sent a few days before the event.

Visitors can subscribe for Free Tickets by clicking on the button under our logo on the about page.

Tickets will be emailed approximately 3 weeks prior to the event. Subscription is obligatory to validate each free and private view ticket as all your guests email addresses will be used as a guest list and checked to confirm registration and authentication on arrival.

Congestion Charge and Ultra Low Emission Zone.
The venue is not in the Congestion Charge zone (which is the same as the Ultra Low Emission Zone) but please check if you will be travelling through it to and from the venue. If so, booking your vehicle in advance online is advisable.

London Underground
Take the Circle or District Line to Sloane Square. Walk across Sloane Square itself and straight down the King’s Road (keep Peter Jones department store on your right hand side). Chelsea Old Town Hall is approximately ten minutes’ walk down the King’s Road. It is on the left side of the road at the junction with Sydney Street.

Local Bus Routes 
Alight at Chelsea Old Town Hall on the King’s Road at the junction with Sydney Street for bus numbers 49 or 211. Alternatively catch bus numbers 11, 19, 22, 211 or 319 from Sloane Square/King’s Road.

As the RBKC staff run and monitor a strictly no congestion policy, designated parking marshals will be employed for the drop-off hours only.

There will be no flexibility once your allocation is booked. Failing to deliver at the designated time will result in forfeiting your window. You will not be permitted entry to the drop off area at any other time.

You will be able to deliver your work via access to the rear of the venue under the following conditions:

  • Exhibitors must adhere strictly to their allocated time, after which they must relocate their vehicle as you are welcome to return later and hang at your leisure.
  • Your time-slot will be between either late on the Thursday afternoon to evening or on the Friday morning or afternoon and will be confirmed to you via email. For efficiency and safety, your allocated time slot is based on your stand location and you will be informed of this in due course. 
  • The are must be cleared immediately to allow consideration for fellow exhibitors. There are nearby car parks that you may use to relocate your vehicle after unloading.
  • Time slot allocations will be forwarded in due course along with a map of the immediate area and drop off instructions.
  • Please plan carefully in advance as it is imperative important that you arrive on time.

On arrival our staff will welcome you and direct you to your stand.

Only spaces with at least 2 perpendicular panels have a designated floorspace. Your artworks must not impose on the surroundings or works of other artists.

If objection is raised regarding Health and Safety regulations of the venue the exhibitor will be requested to reposition or potentially remove the item.

Due to congestion and for your safety, please be aware that only one exhibitor or representative can be present on any stand throughout opening times. 

Each stand has white wooden exhibition boards made of 4mm hardboard fascia with internal batons for strength. Artists are permitted to screw directly into the boards, providing the optimum flexibility and strength when hanging.

Nails are not permitted for hanging as the vibrations may shake neighbouring and connecting stands.

For safety reasons works considered too heavy for the panels will not be hung so please contact us for clarification if your work is particularly heavy or you have specific hanging requirements.

All works must be hung and tools, packing and equipment cleared by 3pm on Friday.

Depending on your specific choice on hanging you may require a battery operated, hand held power-screwdriver (not a power-drill), 1 inch screws, wire or string for “D” rings, mirror plates, a spirit level, a single step to reach the highest points. Please do not stand on the seating, fittings, fittings or any of the furniture inside the venue.

For your individual labels we suggest that you title, media, size and price each of the pieces listed.

Subject to availability we are happy to provide one seat per stand for spaces with a designated floorspace. Smaller stand holders may not be permitted seating as this may infringe on the legal walkways imposed by the venue under their Health & Safety and Covid-19 regulations.

If you would like extra lighting or a personal power point for your phone, laptop, tablet or pay facility then please contact us to book this in advance.

Spotlights are provided free of charge on all stands although additional lighting is available at £36 per spotlight for the entire exhibition period.

Wall mounted single sockets are priced at at £79 for the weekend if required.

Our staff will be available to pack sold works and facilitate card payments for your sales.

All major debit and credit cards will be accepted with the relevant transactions fees applied. Details of the current rates can only be provided on and at the dates of the event.

Personal card terminals may be available to rent so please contact us for further information. 

Exhibitors are also encouraged and welcome to take payments directly, securely and at their own discretion.

As detailed in your agreement with us, all exhibitors will be legally required to carry statutory insurance cover and carry certificates of authenticity of an insurance policy to the minimum value of £2,000,000. You are welcome to source your own provider; alternatively please contact us for a link to quick and easy online cover from one of our partners.

There is limited storage available at the venue. 

Paid storage must be applied for in advance by email and cannot be guaranteed.

Stored works must be clearly labelled and remain wrapped securely as Untitled cannot be held responsible for any loss or damage of artwork kept within the storage areas. 

No personal items, packing, tools, suitcases or equipment are to remain on your stand or obstructing any walkways. Please arrange for all items to be removed in good time as all available storage is allocated for artworks.

For safety reasons children under the age of 16 are only admitted when accompanied by an adult who is attending as a guest during public opening times at the weekend.

Children are not permitted to be present with exhibitors at their stands.

Please remain vigilant at all times regarding all safety issues. Full fire safety regulations will be made available for all at the venue. Exhibitors must ensure that all materials brought in shall be non-flammable and conform to the fire regulations of the venue.

No goods or materials shall be brought into the venue that are explosive, inflammable, dangerous, illegal or harmful. 

By attending, all exhibitors agree to comply immediately with instructions relating directly to this. 

No items should be displayed in a manner as to obstruct walkways or impose on the legal minimum walkways agreed with the venue.

Security and parking marshals will be provided throughout all opening or delivery  hours where applicable.

For your health and safety and dependent on updated Coronavirus restrictions, catering will be available throughout the opening hours of the event. Please take advantage of their services.

  • Break down commences at 5pm upon closure of the event. Parking attendants will be available throughout to help relieve congestion. 

    Exhibitors are asked to leave as quietly and efficiently as possible and with the utmost consideration for the local residents. 

Exhibitors Manual

Please read ALL of the following information 

Delivering your artwork to the venue
You will be able to deliver your work to venue using the car park at the venue, under the following conditions:

  • Each stand at the fair will have the use of one parking bay at the rear of the venue.
  • The parking bay will be available for 20 minutes, solely for the exhibitor to unload all their work.
  • The 20 minute window will be allocated between 4pm and 9pm on Thursday 28th May.
  • Your time slot will be sent to you in due course. 
  • Exhibitors must stick strictly to their allocated time, after which they must relocate their vehicle and are welcome to return and hang at their leisure.
  • The parking bay must be clear by the end of the 20 minute window – there are other nearby car parks that you may use to park your vehicle after unloading including Sydney Street and on-street metered bays in nearby side streets.
  • If you are sharing a stand with another exhibitor, please note that there is one parking bay and one allocation per stand, so you must arrange with the other exhibitor how to effectively make use of this, using only one vehicle for the whole stand.
  • Time slots and parking bay allocations will be forwarded in due course along with a map of the immediate area and drop off instructions.
  • It is extremely important that you arrive on time.

As the RBKC run a strict no congestion policy, designated parking marshals will be employed for these hours only therefor there will be no flexibility on allocation once it is booked. If you are late for your allocated delivery slot you will have to reschedule for a completely different time or potentially the next day and will not be permitted entry to the drop off area.

Your Stand

We are happy to provide one seat per stand for spaces with a designated floorspace. Smaller stand holders may not be permitted seating as this may infringe on the legal walkways imposed by the venue under their Health & Safety regulations. Please contact us if you require clarification.

Hanging Specifications
Each stand has white wooden exhibition boards made of 4mm hardboard fascia with internal batons for strength. You may screw directly into the boards, providing flexibility and strength when hanging.

Nails are not permitted for hanging as the vibrations may shake neighbouring stands.

For safety reasons works considered too heavy for the panels will not be hung so please contact us for clarification if your work is particularly heavy or you have specific hanging requirements. All works must be hung and all tools and equipment cleared by 3pm on Friday 29th May.

Rate Card
Please contact us for rates on advertising on the website and brochure in addition to our newsletter, sent to 20,000 previous visitors, buyers, dealers, galleries, agents and publishers.

Brochure
A Digital Brochure will be available to download, showcasing all exhibitors contact information and image. Untitled Gallery Limited accept no responsibility for errors within the Brochure design, images, colouration, typography and/or production and will not compensate for this.

Website Entry
If you have not already done so then please email over one selected image per Artist in addition to your statement, email and website address. Artists permitted to share should forward one image and contact details for each exhibitor. 

Additional Lighting & Sockets
2 spotlights are provided for no charge on all stands. Additional lights are available for £25 and single sockets at £69 for the weekend.

Children
For safety reasons children under the age of 16 are only admitted when accompanied by an adult who is attending as a guest during public opening times at the weekend.

Exhibitors may not have children staying with them at their stands.

Sharing Spaces
Due to congestion and safety issues please be aware that no more than two exhibitors can be present on any stand at one time. It is preferable that only one person attends each stand.

Public Liability Insurance
As detailed in your agreement with us, all exhibitors will be legally required to carry statutory insurance cover and carry certificates of authenticity of the legally required public liability insurance policy to the minimum value of £2,000,000. You are welcome to source your own provider; alternatively please contact us for a link for quick and easy online cover.

Storage
There is limited storage available at the venue. Free and paid for storage must be applied for in advance by email and cannot be guaranteed.

Stored works must be clearly labelled and remain wrapped securely as Untitled cannot be held responsible for any loss or damage of artwork kept within the storage areas. 

Packing
Packing on all sales will be available free of charge throughout all opening hours of the event enabling exhibitors to concentrate on selling works and replenishing their stands. If you require any special or specific wrapping or packaging material to be used please let us know in advance and provide the relevant materials to us

Payment Facilities
Our card payment facilities will be available for all exhibitors for only 6% administration fee. All major debit and credit cards will be accepted.

Additional card terminals may be rented for your personal use, please contact us for further information. Exhibitors are also encouraged and welcome to take payments directly at their discretion.

Security
Security will be provided throughout all opening hours.

Bar & Food Service
Food and a full bar will be available throughout the opening hours of the event so please take advantage of their services.
